Have you ever thought about your days as if they were a system—a kind of engine that keeps you moving forward? Imagine using templates, not just for documents or emails, but for your life. Templates are more than just pre-made forms; they’re themes you can adapt and reuse, shaping them to fit your goals and daily needs.

When you start treating your day as a system, everything changes. Instead of waking up and reacting to whatever comes your way, you ask yourself: What are the three things I absolutely need to do today? How can I make sure these things actually get done—not just by sitting down and hoping for the best, but by setting up a structure that keeps distractions at bay and makes even the dullest tasks feel motivating?

The trick is to turn routine into something you look forward to. If you can’t wait to get started on your first task, you’re already winning.

Why Think Like a System?

A system is a bit like software. As an engineer, I’m always looking for ways to automate my work, make it more enjoyable, and prevent problems from happening again. When something goes wrong, I see it as an opportunity: How can I put something in place so this doesn’t happen next time?

You can read about mistakes in books, but until you’ve faced them yourself, you might not really learn. Sometimes, you have to hit rock bottom before you finally say, “Never again. What can I do to avoid this in the future?” That’s where systems come in. You write down your process—maybe in Notion or another tool—and follow it. I don’t use Notion for everything, but for processes and templates, it’s fantastic. You can build your own templates and adapt them as needed.

For example, when I was hiring engineers, I had to interview all kinds of people—juniors, seniors, architects, data scientists. The interview process changed depending on the role and the company. With a template, you just tweak it to fit the situation. Continuous adaptation is key. Just because something works now doesn’t mean it will work next year. Life changes, you change, your skills and motivations change. What drives you today might not excite you tomorrow.

That’s why you shouldn’t put off what you want to do today. Tomorrow will be different, and your goals and motivations will shift. Focus on today, because if you don’t, you’ll end up lost in your days.

The Power of Methodology

Having a clear method is essential. Follow it, question it, and don’t be afraid to improve it. Sometimes, the problem isn’t the work itself, but how you interpret it. Changing your perspective can make a huge difference. Take a moment to sit down, reflect on what’s working and what isn’t, and see how you can change your approach.

Motivation is important, but it doesn’t last. Habits and routines are what stick. Even then, sometimes routines lose their meaning. That’s why rewards matter—not just for dogs, but for us too. For example, I love taking a short break at a nearby café, enjoying a flat white or a cappuccino, sitting outside among the trees, dogs, and birds. It’s a small reward that makes my day better.

Breathing and Breaks

Taking breaks and breathing properly can change everything. Try the triangle breathing method: inhale for 4 seconds, hold for 4 seconds, exhale for 4 seconds. Or try 4-7-8: inhale for 4, hold for 7, exhale for 8. These simple techniques help you feel better and more focused.

Set reminders if you need to, but don’t let it become a chore. Discipline isn’t about being strict for the sake of it; it’s about giving yourself more freedom. The more disciplined you are with your tasks, the more time you’ll have for what matters.

Always ask yourself: Is what I’m doing worth the time I’m spending? Compare the hours you put in with the results you get.
